Welcome Northeast Providers to the Aware Vendor Portal

Hello Vocational Rehabilitation Providers:  


As you are aware, Opportunities for Ohioans with Disabilities (OOD) is looking forward to implementing the Aware Vendor Portal. This new way of submitting and tracking authorizations, reports, and bills online within the Aware system will streamline the process for timely payments all in one location.  


Northeast area providers may begin using the Aware Vendor Portal on October 1.  Northeast area providers who have previously requested Aware Vendor Portal Access will soon receive an email from aware-notification@ood.ohio.gov that welcomes you to utilize the portal.  Northeast area providers will utilize their OHID and password to log in at ohoodvendor.awareportals.com.  Please check your spam folder if you are a Northeast area provider expecting this message and are not finding it in your mailbox by October 1.


Starting October 1, Northeast area providers will submit all bills through the Aware Vendor Portal and can no longer submit them via the billing fax queue and/or email.  To support providers through the onboarding, please be aware of the following points of support:


•    The Introducing the Aware Vendor Portal training is available on-demand online for your convenience to allow for pausing, rewinding, screenshotting, etc. to make it easy to learn at your own time and pace
•    Questions regarding provider account access (e.g., login issues, etc.) can be routed to ood.vendorportal@ood.ohio.gov 
•    Questions regarding rejected payments can be routed to AE2 or VR counselor/coordinator
•    Questions regarding VR Fee Schedule service definitions can be routed to pcmu@ood.ohio.gov 
•    Requests for authorizations or authorization amendments can be routed directly to the referring VR counselor/coordinator

After your region has been onboarded, please feel free to join us for weekly Question and Answer sessions via Microsoft Teams.  This is a dedicated time to offer providers support as you begin using the Aware Vendor Portal.  These meetings are scheduled for 9:00 a.m. every Friday from October 1 through December 17.  Please find below the link which will be used for all of these meetings:

Microsoft Teams has live closed captioning.  Reasonable accommodations may be requested at least 10 days before the meeting date by writing to ginger.scaife@ood.ohio.gov.   

The Aware Vendor Portal will be implemented regionally based on provider headquarters to ensure high levels of support through the onboarding process.  Here is the current implementation schedule:
•    October 1—Northeast 
•    October 15—East Central 
•    October 29—Southeast 
•    November 12—Southwest 
•    November 26—Northwest

If you have not already done so, please be sure to take the initial setup steps to request Aware Vendor Portal access. Having your access ahead of your region’s onboarding date will ensure you are ready to submit billings through this portal and have a smooth onboarding.
